Scholars Week Information and Instructions for Students
Dear Undergraduate Researchers (and mentors):
Congratulations on your upcoming URSA Scholars Week research presentation. This is such a wonderful time to highlight and celebrate the creativity and discoveries resulting from undergraduate research and scholarly achievements. Student presentations will take place on Monday-Wednesday, March 25-27. This year we have created a Senior Showcase for Wednesday between 11:00 and 1:00.
Please read this message carefully and see the schedule of URSA presentations on the URSA Scholars Week web page. You will need to make necessary preparations and arrangements.
- All Students Presenting:
- If your presentation is scheduled during your regular class hours, speak to your instructor about arranging time to complete your assignments early and/or ask your mentor to provide a note. This type of engaged learning that takes place outside of the classroom is supported by our faculty and in most cases you will be able to work something out.
- We have tried to accommodate all requests for changing schedules, but at this point we do not plan to rearrange the schedule and any changes will not be reflected in the Scholars Week Program. If there are very special circumstances, we will do our best to assist you.
- If you are no longer planning to participate in Scholars Week, please reply and let us know.
- Invite your classmates, friends, and family. Send messages, and if appropriate, post your research topic and presentation schedule where others will see it. We want to get the word out!
- Dress is business casual.

2. Platform/Oral Presentations at the Bill Daniel Student Union Building (SUB):
- Arrive 10-15 minutes early in order to check-in with the URSA Volunteers.
- We will go in order of the schedule.
- Each presenter should bring a charged laptop computer capable of connecting to the computers through HDMI or a Mac adapter. Your presentation should be ready to go when you arrive.
- If you need sound, please plan to use your own computer speakers.
- Refreshments and URSA “swag” will be available!
- Your session is scheduled for 1 hour and 15 minutes, but each presenter will only be presenting for 10-15 minutes, including time for questions.
- We will have a moderator and judges for each session.
Three to four students or team will be in each session. Please plan to stay for the entire session.
3. Poster Presentation at the Baylor Sciences Building (BSB):
- Your posters should not be larger than 4’ x 3’ to fit on the green easels/partitions.
- All students/mentors are responsible for printing their own posters. Plan ahead because it may take a few days to get it printed.
- All poster presentations will take place on the 2nd floor on the A-wing side.
- Find your designated poster number on the online schedule and correlate it with the number on the green partitions.
- Session A: you may hang your poster starting at 8:30 AM on Monday.
- Session B: you may hang your posters starting at 11:30 PM on Monday.
- Session C: you may hang your posters starting at 2:30 on Monday.
- Session D: you may hang your poster starting at 8:30 AM on Tuesday.
- Session E: you may hang your posters starting at 11:30 on Tuesday.
- Session F: you may hang your posters starting at 2:30 on Tuesday.
- Session G: Senior Showcase: You may hang your posters any time before 11 on Wednesday.
- BURST/URSA staff will be available if you need assistance in hanging your posters. Please use the clamps that are available.
- There will be judges assigned to each poster. It is not always easy to coordinate exactly when they will visit your poster, so if possible plan on someone in your group being with the poster during your entire session.
- All posters must be removed after the session is over.
- Refreshments and URSA “swag” will be provided on the 2nd Floor landing!
- URSA Awards
- Be sure to check your email to see if you have won an Outstanding Presentation award.
- Those who receive an award will be invited to the Office of Engaged Learning Awards Banquet on Thursday April 4th at 6:00 PM in The Hurd.
